This single document contains both our Terms of Use (Part A) and our Privacy Notice (Part B). By creating an account or using the Service you accept both parts.

PART A: TERMS OF USE

A1. Acceptance

By creating an account or using the Service you agree to these Terms and to the Privacy Notice in Part B. If you do not agree, do not use the Service. If you use the Service on behalf of a clinic or organization, you confirm you are authorized to bind it.

A2. Who may use the Service

The Service is intended for use by registered or licensed veterinary professionals and their clinical staff in the course of professional practice. It is not intended for use by pet owners as a substitute for veterinary advice. You must be at least 18 years old to hold an account.

A3. Clinical decision-support, nature and limits

The Service provides information and calculated guidance only (feeding amounts, growth plans, antiparasitic product information and dosing bands, transition guidance, vaccination and diet references). It is a decision-support aid, not a diagnosis, prescription, or a substitute for the professional judgement of a treating veterinarian.

You must independently verify every output against the current manufacturer label, package insert, and applicable regulatory approval before relying on it, including feeding quantities, product selection, dosing, weight bands, contraindications, and age or weight minimums. Formulations, labels, and approvals change without notice.

All feeding calculations are estimates based on published nutritional standards and the food's stated energy content. They are starting points to be adjusted to the individual animal's body condition and monitored at regular re-weighing. Where a food's energy content is not available, no portion is provided.

The treating veterinarian remains solely responsible for all clinical decisions, diagnoses, prescriptions, and patient care. Nothing in the Service creates a veterinarian-patient relationship between us and any animal or client.

A4. Data accuracy, no warranty

We compile product and dosing information on a best-effort basis from official manufacturer labels and recognized regulatory sources for each region, and we audit it for accuracy. However, we do not warrant that all information is complete, current, or error-free.

Information is region-specific. Products, approvals, availability, and labelling differ by country; you must use the region applicable to your practice and confirm local approval status.

The Service is provided "as is" and "as available", without warranties of any kind, express or implied, to the fullest extent permitted by law.

A5. Intellectual property and permitted use

All content in the Service, including the compiled product and dosing databases, the nutritional and growth calculators and their logic, text, design, and branding , is our proprietary property or licensed to us, and is protected by intellectual-property laws.

We grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Service for your internal clinical use for the duration of your subscription or beta access.

You must not, directly or by automated means: scrape, crawl, bulk-download, copy, extract, or index the databases or content; reproduce, resell, sublicense, or redistribute them; create a derivative or competing dataset or product; or reverse-engineer the Service. Outputs may be used in your own patient records for the individual animal being treated, but the underlying datasets may not be extracted or repurposed.

A6. Acceptable use

You agree not to misuse the Service, interfere with its operation or security, attempt unauthorized access, or use it unlawfully or outside professional veterinary practice.

A7. Accounts, subscriptions and billing

You are responsible for your account credentials and for all activity under your account. Notify us immediately at support@vetportions.com if you suspect unauthorized use.

Fees, billing cycle, and currency are as shown at sign-up for your selected region. Subscriptions renew automatically for the selected period until cancelled, and can be cancelled at any time from your billing settings; cancellation takes effect at the end of the paid period. Payments are processed by Paddle. Except where required by law, fees already paid are non-refundable. During the beta period the Service may be provided free of charge and may change or be withdrawn.

A8. Availability and changes to the Service

We aim to keep the Service available but do not guarantee uninterrupted access. We may modify, suspend, or discontinue features, and may suspend or terminate accounts that breach these Terms.

A9. Limitation of liability and indemnity

To the maximum extent permitted by law, we are not liable for any indirect, incidental, consequential, or special damages, nor for any loss arising from clinical decisions, reliance on Service outputs, data inaccuracies, or animal outcomes.

Our total aggregate liability, to the extent permitted by law, is limited to the fees you paid for the Service in the 12 months preceding the claim.

You agree to indemnify us against claims arising from your use of the Service or your breach of these Terms. Nothing in these Terms excludes liability that cannot lawfully be excluded in your jurisdiction.

A10. Governing law

These Terms are governed by the laws of the Republic of South Africa, without prejudice to mandatory consumer and data-protection rights available to users in their own country.

A11. Changes to these Terms

We may update this document and will post the revised version with a new "Last updated" date. Continued use after changes constitutes acceptance.

PART B: PRIVACY NOTICE

B1. Purpose and scope

This notice explains how Vet.Portions collects, uses, stores, and protects personal data when you use Vet.Portions, and how to exercise your rights. It applies to visitors of our public website, registered users, clinic administrators, and anyone whose personal data we process in connection with the Service.

Vet.Portions is a clinical decision-support tool, not a medical record system. It is not intended to store patient health information, and we advise against entering client names, patient names, diagnoses, or other sensitive clinical data into the Service.

B2. Data we collect

  • Account and clinic data: email address, hashed password (never readable by us), clinic or practice name, country/region, and an optional clinic logo used for branded handouts.
  • Usage and technical data: IP address, browser and device information, pages visited, features used, and error or crash logs.
  • Payment data: subscription status, billing country, and transaction history received from Paddle. We never store full card details.
  • Support and feedback: messages, brand requests, and feedback you send us.

B3. Data we do not collect

The Service is stateless with respect to patient data. We do not store animal or patient records, pet-owner personal data, or the results you generate. Calculated outputs are shown in-session and copied by you into your own practice-management software, which remains the system of record. Any clinical data typed into free-text fields is entered at your own risk.

B4. How and why we use data

We use personal data to:

  • Provide, operate, secure, and maintain the Service
  • Authenticate users and manage accounts and clinics
  • Process subscriptions and payments
  • Respond to support requests and feedback
  • Improve the Service and develop new features
  • Send service notifications and, where permitted, product updates
  • Comply with legal obligations and protect our rights

Depending on your region we rely on one or more legal bases: performance of a contract, our legitimate interests in operating and improving the Service, your consent, and compliance with legal obligations.

B5. Who we share data with

We do not sell, rent, or trade personal data. We share it only with providers who help us run the Service, under appropriate contracts:

  • Lovable, application hosting and deployment
  • Supabase, authentication, database, and file storage
  • Paddle, subscription billing and payments
  • Privacy-friendly product analytics, aggregate usage measurement

We may also disclose personal data if required by law, court order, or regulatory request, or to protect our rights, our users, or the public.

B6. International transfers

Our providers may process data outside your country, including in the European Union, the United Kingdom, the United States, and South Africa. Where required, we rely on appropriate safeguards such as standard contractual clauses and data-processing agreements.

B7. Security

We use industry-standard technical and organisational measures, including encryption in transit, access controls, row-level database security, administrator role separation, and scheduled security reviews. No online service can guarantee complete security.

B8. Retention

We keep personal data for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. If you close your account, we delete or anonymise your personal data within 90 days, except where retention is required by law (for example tax records relating to payments).

B9. Your rights

Depending on your region (POPIA, EU and UK GDPR, CCPA and other US state laws, PIPEDA, the Australian Privacy Act), you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Delete your personal data
  • Object to or restrict certain processing
  • Port your data to another service
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with your data-protection authority

To exercise any of these rights, email privacy@vetportions.com. We respond within the timeframe required by your local law.

B10. Cookies

We use necessary cookies to keep you signed in and to operate the Service, and privacy-friendly analytics to understand aggregate usage. We do not use advertising cookies. You can manage non-essential cookies through your browser settings.

B11. Children

The Service is intended for veterinary professionals and clinic staff and is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe we have, please contact us and we will delete it.

B12. Changes and contact

We may update this notice from time to time and will post the revised version with a new effective date, notifying you where required.
